New Challenge

Thanks for the help from Josh and Lauren, the official ID archive is set up and ready to go. you can find it on http://cdm.uarts.edu/ (campus network only). So far we’ve overcome the technical issues to set up an archive system, but we are facing another challenge. We have hundreds of gigs of files from previous school years and many more physical objects like slides, models, posters, and sketches. The Challenge is what we should keep as an official ID archive and what we should get rid of. There is really no parameter in this matter. According to definition, an archive is a collection of historical documents or records providing information about a place, institution or group of people. These documents should be selected primary source collected over the course of time. As for our ID archive, we wish to keep a collection of student works in all courses over time. Only those worth documented should be preserved in the archive. As a graduate student working on archiving for assistantship project, I may not know everything about past student projects, needless to say that I have to fill out all fields for each files. Therefore, An efficient way to select works to be in the collection as well as getting all information for the fields is essential to this project.

Our preliminary decision after last meeting was to upload the best 10 works in each course starting from last semester/ year (fall 09) as the first step. We hope to ask each faculty member to pick out the best 10′s and fill out all information about them. The way we wanted to do is that before next faculty meeting (TBD by Tony), we will go over and upload a couple of projects that we’ve involved in last semester. At the faculty meeting, we will show these files through cdm ID collection for demo and explain how it works to the faculty. If they all agree with the plan, we will be giving each of them a thumb drive with the works of the courses they were teaching and asking them to select the best 10. There will also be a template PDF for the fields they have to fill out for each of the projects. Once they return the thumb drive, we can upload those files as the first batch for official ID collection. If the best 10 works out well, in the future we will be collecting student works based on this method.

Yesterday we met with Josh and Laura to finalize all the fields we want for ID archive. All fields were entered and set for the ID collection in ContentDM. It means that we are ready to start uploading and tagging all files very soon!

First Step Toward Official ID Archive

After all the meetings and time spent last semester and beginning of this semester, we finally decided on the best way to build our archive. We will start with a pilot run of a collection on ContentDM, which is a new digital file management service that UArts recently started using. The files would be added and stored in Library database. Currently, the archive is projected to be accessed only by the faculties and students of UArts. They will be able to view the files on a web based gallery.

Today, with the help of Josh and Laura from library, we came up with a desired list of metadata fields that we want to tag our digital files. Next week, we will meet again with Josh and Laura to further develop this list into a field dictionary, which defines all the fields and their settings and rules (ex. capitalize all initials, etc). This field dictionary will also be served as a guideline for future archiving personnel and as a policy/ rule for collecting future student works. In other word, it will be the protocol of ID archive.

Additional note:

Consider how people would search for the files when coming up a list of fields.
In the long run, the archive would be accessible by the public. Consider what is putting out to the world, ie. content, copyrighted sources, etc.
When collecting works from students, ask for their permission to show their work on the site.
ContentDM supports compound objects: links multi-pages PDF or a series of images.
Look at other ContentDM collections online for reference.

Issue:

Tony talked to Duran Goodyear from UArts Communications Office. They are working on an University level digital assets archive program. Possible collaboration opportunity with them. Perhaps using ID dept. as the first test group!
Will and Jeff (MID 2) are building an onsite ‘project work server’ system based upon a web-based creative community resources project of Will MID graduate thesis “OKWagon” using Drupal, a web-based content management platform. Drupal can be a possible platform to build our archive system, and further incorporated in OKWagon.
Yu-Ching asked whether we should include PDF’s or just images to our archive. We shall find out after our meeting with Duran about their project.

To Do:

Faculty charrette: Sit down and go through all material to decide what to keep and what to toss.
Conduct interview/survey for faculty and students to find out what service they want the archive system to provide.
Start digitize the slides.
